Location:
Vacancy open in Kraków, Małopolska.
Responsibilities:
- Actively participate in negotiations with shipping lines, including coordination under the company’s own freight contracts.
- Plan and coordinate container shipments from Asia, ensuring timely and cost-effective transport.
- Prepare complete documentation for customs clearance, in compliance with relevant import/export regulations.
- Maintain ongoing communication with Asian suppliers and logistics partners regarding shipments and all required customs documentation.
- Plan container deliveries to company warehouses or directly to customers, in coordination with warehouse managers and sales representatives.
- Prepare product labeling and sticker documentation in accordance with market requirements.
- Translate operational or product-related documentation into Polish as needed.
- Manage and monitor all payments related to container orders and deliveries, ensuring timely processing and accuracy.
- Process and verify transport invoices in the Comarch ERP system, ensuring correct allocation and reporting.
- In case of official inspections, present all necessary documentation and manage regulatory compliance procedures.
- Handle communications with Asian intermediaries regarding quotations and complaint resolutions.
- Manage claims and issue resolution with shipping lines, particularly in cases of container damage or transport discrepancies.
- (Optional) Occasional travel to Asia to strengthen supplier relationships and oversee supply chain operations on-site.
Requirements:
- 2+ years of experience in international logistics, import coordination, or supply chain operations - preferably with a focus on the Asian market.
- Proven track record in managing container shipments, including handling customs documentation and coordinating with global shipping lines.
- Experience in resolving transport-related claims and handling complaint processes with international partners.
- Strong understanding of import/export regulations, customs procedures, and international shipping documentation.
- Excellent organizational and planning skills, with the ability to coordinate deliveries and manage multiple shipments simultaneously.
- Detail-oriented approach to document preparation, invoice processing, and compliance control.
- Strong communication skills for coordinating with suppliers, freight forwarders, and internal departments (warehouse, sales, finance).
- Ability to negotiate and manage vendor relationships in a multicultural environment.
- Proficiency in Comarch ERP or similar enterprise resource planning systems.
- Solid knowledge of Microsoft Office (especially Excel).
- Ability to translate technical or product-related documents into Polish.
- Willingness to travel occasionally to Asia (1 - 2 times per year, if needed).
- Problem-solving mindset and ability to act independently in dynamic environments.
- Knowledge of labeling requirements and product marking standards is a plus.
- English and Polish - minimum C1 level (required for daily communication and documentation).
